AI agents vs automation: what is the difference?

Tools like Zapier and Make connect apps with fixed rules. AI agents get a goal and work out the steps themselves. Both save time, but they solve different problems. This guide shows when a simple workflow is enough, when you need an agent, and how to combine the two.

The short version

Side by side

  1. How you set it up. Automation: you draw every step and condition. Agent: you describe the goal, the rules and the limits in plain language.
  2. What it can handle. Automation: structured data in a known format. Agent: free text, emails, DMs, web pages and open questions.
  3. When something changes. Automation: a renamed field or a new case can stop the flow until someone fixes it. Agent: adapts within its rules and reports what it could not do.
  4. Output. Automation: moves or copies data. Agent: produces work: a reply, a post, a page, a report, with proof of what it did.
  5. Control. Automation: fully predictable. Agent: needs a clear daily goal, daily caps, a test round and a pause button. See 7 mistakes when building AI agents.

Questions

Is an AI agent the same as a Zapier or Make automation?

No. An automation follows a fixed recipe. An agent gets a goal, decides the steps and can handle situations nobody wrote a rule for.

When is a normal automation enough?

When the input is always the same and the steps never change, such as copying a form into a spreadsheet.

Can I use both together?

Yes. Automations handle the fixed plumbing, the agent handles the parts that need judgement.
